Tags start tidy and end up a mess. Someone types Summer, someone else types summer, a third person writes SS26, and a year later your store has three tags doing one job — plus an automated collection quietly matching only one of them.
Tags are not cosmetic. They drive automated collections, storefront filters, search, discount targeting and most third-party app logic. A tag typo is a product that disappears from a category. Here is how to see your whole tag vocabulary at once and fix it in bulk.
The jobs tags create
- Consolidating duplicates —
sale,Sale,on-saleandON SALEbecoming one tag - Seasonal rollovers — removing one season tag from 1,200 products and adding another to a different 900
- Launching a filter that needs a
material:cottonstyle tag on every product that has one - Auditing — finding tags used only once, which are almost always typos
- Migrating conventions — moving from free-form tags to a
key:valuescheme
Shopify admin can add or remove a tag across a selected set of products. It cannot rename a tag, show you your whole tag list with usage counts, or apply a conditional rule like "tag every product over $200 as premium".
Why a spreadsheet fits tags
SheetSync exports one row per product with a tags column alongside title, type, vendor and price. Once it is in a sheet:
Find and replace is a rename
Select the tags column, find the old tag, replace with the new one. Renamed across the catalog in one action — something the admin has no equivalent for.
Case normalization is one formula
=LOWER(E2) in a working column, filled down and pasted back, collapses three spellings of the same tag into one.
Conditional tagging
=IF(D2>200, E2 & ", premium", E2) adds a tag only where the rule applies. Swap the condition for product type, vendor, or anything else you exported alongside.
A real tag audit
Split the tags column, stack the values into one column, run a pivot table. You get every tag in your store with a usage count, sorted. The one-use tags at the bottom are your typos, visible in seconds.
Removing a tag everywhere
Replace , old-tag with nothing — watching for the edge case where it was the first tag on a product and has no leading comma.
Step by step
- Open Product Info Sync and connect your Google account.
- Create or connect a product spreadsheet with Tags among the selected fields.
- Export. Every product arrives with its current tag string.
- Edit in the sheet — find and replace, formulas, filters, pivot tables.
- Sync back. SheetSync compares each row against Shopify and updates only what changed.
- Review the sync log, then spot-check a few products and any automated collection you touched.
The two ways this goes wrong
Tags sync as a complete list, not as a patch. The tags cell is the full set that product should have after the sync. Clear a cell and that product loses its tags. Always start from a fresh export so you are editing real current state rather than overwriting it.
Automated collections break on rename. A collection with the condition "tag is equal to" the old value goes empty the moment you rename it. List the affected collections before you sync and update their conditions immediately after. This is the single most common way a bulk tag edit breaks a storefront.
Two smaller things: Shopify trims whitespace and allows up to 250 tags per product, so stray spaces are forgiven but sprawling tag strings are not. And if you are building a key:value convention, settle the separator and casing before you start — rewriting a convention twice is twice the work.
A tagging convention worth adopting
- Lowercase everything. It removes an entire class of duplicate.
- Hyphens, not spaces:
gift-set, notgift set. - Prefix structured tags:
material:cotton,season:aw26,channel:wholesale. They sort together and are trivial to find and replace later. - Do not duplicate data Shopify already models. Product type, vendor and collections are fields — tagging them again just gives you two things to keep in sync.
- Write the convention down where your team will see it. A tab in the same spreadsheet works fine.
